ASSISTANT DIRECTOR JOB DESCRIPTION
Position Summary
The Administrative Assistant is responsible for supporting the Center Director and Executive Administrative Staff in oversight and management of maintaining compliance within the center, and guiding our staff in the Academic Explorers mission to learn with, love, and lead children to a higher education and a brighter future while exemplifying our C.H.I.L.D. F.I.R.S.T. core values. The Administrative Assistant will support and assume position responsibilities of the Center Director when the Center Director is absent from the program.
Responsibilities and Duties
COMPLIANCE
-
Read, understand, and enforce compliance with the New York State Office of Children and Family Services (OCFS) Child Day Care Center regulations (Part 418-1) and Child Day Care Definitions, Enforcement and Hearings (Part 413)

Read, understand, and enforce compliance with Academic Explorers, LLC policies
-
Comply with Child and Adult Care Food Program (CACFP) regulations, policies and procedures
-
Comply with Universal Pre-kindergarten (UPK) regulations, policies and procedures if applicable
-
Prioritize children’s health and safety at all times
-
Liaise with OCFS licensors and representatives and facilitate center inspections in the absence of the Center Director

Liaise with Nassau County Department of Social Services (DSS) and maintain applicable records in the absence of the Center Director

Liaise with CACFP and Department of Health (DOH) in the absence of the Center Director
-
Accurately maintain program, staff, and child files
-
Conduct routine evacuation drills, shelter in place drills, and fire and safety inspections under the guidance of the Center Director
LEADERSHIP & TEAMWORK

Review and approve lesson plans submitted by teachers when assigned by the Center Director

Daily management of classroom ratios

Maintain a positive, professional, calm attitude and clear communication at all times

Collaborate with administrators and owners to amend and develop best practice center policies and procedures

Exemplify the qualities of a team player and hold employees to the same standard

Demonstrate respect for children, families, employees, supervisors, and licensors

Effectively multi-task as needed and implement time management skills
FAMILY ENGAGEMENT

Communicate with parents/guardians of enrolled children regarding child development, program events, current policies and procedures

Accurately report and document incidents under the guidance of the Center Director

Encourage parent participation in program activities and events as applicable

Facilitate program tours highlighting key benefits of our center and high quality of programs under the guidance of the Center Director

Offer families a high quality customer service experience

Greet employees, families, and visitors upon arrival to the center and check valid forms identification for any unfamiliar person attempting to enter the facility
PROGRAM QUALITY
-
Participate in continued professional development and training to improve work performance and program quality
-
Occasionally attend meetings and professional development off-site and/or outside of work hours
-
Update front entrance and office bulletin boards as needed
-
Develop and maintain positive relationships with families
-
Occasionally attend community events as a company representative as assigned
OPERATIONS
-
Implement systems for required daily procedures to maintain compliance as trained to do by the Center Director
-
Intake children upon arrival by conducting daily health check procedures, completing attendance records, and ensuring proper sign in from the person dropping off
-
Assist with the dismissal of children and ensure proper sign out from the person picking up
-
Check government-issued valid identification comparing it to child registration forms to confirm children are authorized for release to any given person
-
Collect, file, and report mail, deliveries, and correspondence received as assigned

Report child care management software profile errors or concerns to the Center Director
-
Accurate recordkeeping of hard copy and digital files as assigned

Monitor attendance and call parents when children are absent according to our policies
Qualifications

Minimum of 9+ college credits or Child Development Associate course in progress required.

Associate’s degree in Early Childhood, Child Development, or a related field preferred

Minimum one year of child care experience required

Must demonstrate experience and interest in working with young children, parents, and with a team of educators

Must have effective, appropriate, and strong communication skills (orally and written)

Must be able to speak, read, and write fluently in English, bilingual is a plus
Physical Requirements
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to speak and understand basic English. This position is very active and requires sitting, standing, walking, running, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move up to 10 lbs. and occasionally lift and/or move up to 25 lbs. The employee must be able to see and hear children at all times for the safety of children and co-workers.
Pay rate: $20.00 - $25.00 per hour
